 Job Description Builder

Use Job Description Builder to start from a mozzo job title, or from a Word file you already have, and turn it into a job description your organization can preview, download, and share. A new job stays a draft until you publish it. People who can only view job descriptions see the published version.

Open Job Description Builder

Open Benchmark, then Job Description Builder. The page title is Job Description Builder. Member seats may also see Job Descriptions in the main menu. That opens the same builder. If your menu says Job Descriptions and you do not see Benchmark, you have view access only. Skip to “View a job description without editing it.”

You can also open Job Descriptions on the dashboard. That widget has two tabs, My Saved Job Descriptions and My Company's Saved Job Descriptions. The title Job Descriptions on that widget opens the builder.

The page has three areas:

  • Organization Job Description Settings applies the same essential responsibilities, other requirements, and disclaimer to every job description in your organization.
  • Choose a Job Title to Get Started is where you search the mozzo job list, request a title that is not there, or upload files you already have.
  • My Saved Job Descriptions lists jobs you created. Saved Job Descriptions from My Organization lists jobs other people in your organization created.
  • Job Title is required.
  • Job Summary is required. The box asks you to provide 3 to 4 sentences describing the purpose of this job.
  • Click Submit. Hide Request Form closes the form without sending it.
  • Files must be .docx.
  • You can upload up to 50 files at a time. Each file can be up to 10 MB.
  • Click Upload. The window shows Pending, then Processing, then Success or Failed for each file.
  • One file opens that job description when processing finishes. Several files return you to the builder and scroll to My Saved Job Descriptions.
  • Title is required.
  • Department uses your organization’s departments.
  • Location is optional.
  • Reports To lets you select a person in mozzo or type a name. The placeholder is Select or type a person's name.
  • FLSA Status is Exempt or Non-Exempt. Download requires a choice.
  • Salary Range Min and Salary Range Max are required before you can download. The page says: If available in our salary survey data set, this job's reported salary range will be provided below. Salary Range Max has this tip: Leave 0 if you don't want to show a maximum salary. The finished document shows a salary range only when both numbers are greater than 0.
  • Position Summary becomes About the Position on the finished document.
  • Highest Level of Education or Experience Required: High School or equivalent, Associate's Degree, Bachelor's Degree, or Master's Degree. You can clear the choice.
  • Field of Study
  • Years Experience in Field of Study
  • Certificates, Licenses, or Registrations: check a line to include it, edit the text, delete it, or click Add New.
  • Prepared/Revised Date, with the date, time, and the person who last edited it.
  • Date Created, with the date, time, and the person who created it.
  • Job Type: Regular Duty, or Light Duty.
  • Share copies the link to this job description. mozzo says: Copied link to this job description. The person who opens the link still needs their own mozzo seat and access to job descriptions.
  • Download saves a Word file for a regular job description, and a PDF for a light duty job description. The same Word download is Download Job on the customize page. FLSA status and salary range have to be filled in first.
  • View Published Version or View Unpublished Version switches which copy you are looking at, when both exist.
  • Publish to Organization asks: Are you sure you want to publish this job to your organization?
  • Convert to Light Duty turns this regular job description into a light duty job description. It is not offered once the job is already light duty.
  • Delete is available to the person who created the job. mozzo asks: Are you sure you want to delete this job? Deleting returns you to Job Description Builder.
  • Discard. mozzo asks: Are you sure you want to delete this draft? This action cannot be undone. If the job has never been published, discarding deletes the job and returns you to the list. If a published version exists, discarding removes the draft and shows the published version.
  • View Published Version, when one exists.
  • Publish Draft.
  • Title is required.
  • Worker Name, Hours Per Day, Days Per Week, Claim Number, Phone Number, and Fax Number.
  • Essential Responsibilities, up to 120 characters. The note under it says: Specify what the job duties and tools required for the job will be by using the restrictions provided by the medical provider or your third-party administrator.
  • Job Type is required. Choose Job of Injury, Permanent Modified Job, or Light duty / Transitional. The note says to select the job type for the job of injury, a permanently modified job, or a light duty position, and to update it when the medical provider adjusts the worker’s restrictions.
  • N — Never (not at all)
  • S — Seldom (1-10% of the time)
  • O — Occasional (11-33% of the time)
  • F — Frequent (34-66% of the time)
  • C — Constant (67-100% of the time)
  • Download Job does nothing useful and a message appears. Choose Exempt or Non-Exempt under FLSA Status, and enter Salary Range Min and Salary Range Max. Use 0 for the maximum only when you do not want a maximum on the document. Both numbers have to be greater than 0 for a range to print.
  • A teammate cannot find the job. Check Draft in Progress. If it says Yes, the job is still a draft. Click Publish to Organization. A person with view-only access will not see it until then.
  • A teammate sees old wording. You are editing a draft of a job that was already published. Publish to Organization again. Until you do, they keep the last published version.
  • An uploaded file failed. Confirm it is a .docx job description, under 10 MB, and try again. Review every file that succeeded before you publish it.
  • You cannot delete a job. Delete is on the preview, under Actions, and only for the person who created that job.
  • You discarded a draft and the job disappeared. That job had never been published. Discarding the only copy deletes the job. If a published version existed, discard would have returned you to that version.
  • Align will not assign the job. Publish it first. Draft job descriptions cannot be assigned.
Set language that belongs on every job

Do this before you build a stack of jobs, if you want the same lines on all of them. You can come back and change it later. The change applies to every job description anyone in your organization creates.

1. On Job Description Builder, click Organization Settings.

2. The page title is Organization Job Description Settings. The line under it reads: Create essential responsibilities and disclaimers to be applied to all your job descriptions.

There are three sections.

Universal Essential Responsibilities

These essential responsibilities will be shown by default on every Job Description anyone in your organization creates. Edit the wording, drag a line to change the order, or click the delete icon to remove it. Click Add New to add a line. This list does not have its own Save button. It saves when you leave a field, reorder a line, or delete one. If you clear the text instead of deleting it, mozzo asks you to use the delete button.

Recommendation: Uses employer-approved technology and AI tools, when applicable, to support job responsibilities while exercising appropriate independent judgment and maintaining responsibility for the accuracy and quality of work products.

On an individual job, these universal lines appear under Universal Essential Responsibilities and cannot be edited there. The job page links back to organization settings.

Other Requirements

This content will be shown on every Job Description in the "Other Requirements" section. Write it in the editor and click Save. On an individual job, this block appears under the job’s own Other Requirements, with a note that it is added for all jobs.

Universal Disclaimer

This disclaimer will be shown at the bottom of every Job Description anyone in your organization creates. It prints in italics at the end of the document, after the standard management-rights paragraph. Click Save.

Start from a job title

Under Choose a Job Title to Get Started, the page says: To locate a job, you can search by title above, or browse and select a job title from the list below.

1. Search. Type a title in Enter a job title here to search, then press Enter.

2. Or filter. Use Job Family, Education, Experience, Level, and Manages People. A filter you have changed turns into the primary button. Reset Filters clears all five.

3. Open the title. Click the job title in the list. mozzo saves it and opens Job Description - [title]. The job is already in My Saved Job Descriptions.

4. Click Customize to edit it. You land on Customize Job Description.

The list shows Job Title, Job Family, Education, Experience, and Level. Click a column heading to sort.

The title you need is not in the list

Click Request New Job. The form asks for the job you would like included in the job description builder. mozzo notes that jobs are added and removed from year to year.

The same form appears when a search has no matches, under Can't find what you're looking for? A request does not create a job description on the spot. It asks mozzo to consider adding that title.

Upload job descriptions you already have

Click Mass Upload Job Descriptions, next to Choose a Job Title to Get Started. The window title is the same.

Quickly convert your existing job descriptions into the mozzo format using AI. You can upload up to 50 files at a time. Once uploaded, we'll automatically convert each job description into our template and save them to your account for further editing.

Please review each converted job description after processing to ensure accuracy. If a file fails, confirm that the file is a job description and try again.

Customize the job

Customize Job Description has the section list on the left and the form on the right. The form title is [Job title] Job Description. mozzo saves as you leave each field. You do not click a save button on this page.

Click a section name to jump to it. Preview Job opens the formatted job description. Download Job downloads a Word file. Download is blocked until Position Overview has an FLSA status and a salary range. If FLSA is empty, mozzo says: No FLSA. Please choose an option within Position Overview. If the salary fields are empty, mozzo says: Missing Salary Range. Please fill in options within Position Overview. Back returns to the preview.

The left side also explains drafts: mozzo automatically saves your work. You are currently editing this job as a draft, and drafts are viewable to Super or Admin seats. Publish the job to your organization to make it viewable to all user seats.

Description of Company

By default, the job uses the Description of company field in My Company Settings, under Other Services / Benefits. You can rewrite it for this job only. Include company description? is Yes or No. No leaves About the Company off this document.

Position Overview

Essential Responsibilities

The info icon next to the section title says: Essential Responsibilities / Functions are the fundamental duties that are critical to the position's purpose and cannot be removed without fundamentally changing the role. Focus on the outcomes the employee is responsible for achieving, not every task they may perform.

The section says: Remove or add new essential responsibilities and tasks. A note under that reads: These will be rated on inside Align QPI if participating. Checked lines appear on the document. Uncheck a line to leave it off. Drag a line to reorder it. Click Add Responsibility to write your own. Universal lines sit underneath and stay locked on this page.

AI Consideration: If AI is used in the role, describe any AI-related responsibilities or tools that are required to perform the job. Avoid broad terms such as "AI proficiency" and focus on how AI is actually used within the position.

On the finished document, the list is introduced with: Essential Duties and Responsibilities include the following. Other duties, responsibilities, and activities may change or be assigned at any time with or without notice.

If you use Align Quarterly Performance Insights, publish the job description before you assign it. A draft cannot be assigned.

Position Requirements

Position Requirements is free text and becomes its own heading on the document. Other Requirements is a second box for this job only. If organization settings has universal other requirements, they appear in a box under it, with a link to edit them in organization settings.

Supervisory Responsibilities

Does this position have supervisory responsibilities? Choose Yes or No. Yes opens Supervisory Skills, already filled with sample language about how many employees the position supervises and the usual supervisory duties. Replace the bracketed number and edit the paragraph so it matches the job. No removes this section from the document.

Education and Experience

When a degree is selected, the document reads: [degree] and [years] years experience in [field] or related experience and/or training; or equivalent combination of education and experience. An empty year or field prints as [x].

Skills

The section says: Remove or add skills. Check a line to include it, edit it, delete it, or click Add New. On the document this heading is Computer Skills / Digital Fluency/Adaptation, followed by: To perform this job successfully, an individual should have knowledge of:

Physical Demands

The field label is: Edit the sample language in brackets below. Include all that apply for this position. Replace the brackets with the demands for this job. The document heading is Physical Demands.

Work Environment

Does this position have a work environment description? Yes opens sample language with brackets for how often the person is exposed, what they are exposed to, and the noise level. No leaves Work Environment off the document.

Read the finished job description

The preview title is Job Description - [title]. Under it you see:

If you are looking at a draft, the preview starts with [Unpublished Version] and says: You are currently viewing an unpublished version. It is viewable to Super or Admins.

The document itself shows the company name, the job title, and any of these that you filled in: Department, Location, FLSA Status, Salary Range, Reports To, and Prepared/Revised Date. Sections appear only when they have content: About the Company, About the Position, essential duties, Position Requirements, Other Requirements, Supervisory Responsibilities, Education and/or Experience, certificates, computer skills, Physical Demands, and Work Environment.

Every document ends with this paragraph, followed by your universal disclaimer if you saved one:

Nothing in this job description restricts management's right to assign or reassign duties and responsibilities to this job at any time. [Company name] believes that each employee makes a significant contribution to our success. That contribution should not be limited by the assigned responsibilities. This position description is designed to outline primary duties, qualifications and job scope, but not limit our employees nor the organization to just the work identified. We expect that each employee will offer his/her services wherever and whenever necessary to ensure the success of the company.

Copy, download, share, or delete

On the preview, Copy to clipboard copies the formatted job description. mozzo confirms with Successfully Copied. If the browser blocks it, mozzo says Could Not Copy. Light duty job descriptions do not have Copy to clipboard.

Actions holds the rest:

Customize returns you to the form. Back returns you to the list.

Drafts and publishing

A new job description is a draft. It shows in My Saved Job Descriptions with Draft in Progress set to Yes. The column tip says: Viewable to Super or Admins. People who can only view job descriptions do not see a job that has never been published.

While you edit a draft, the banner says: You are currently editing a draft. From that banner you can:

The same choices sit on the left of the customize page: View Published Version, View Unpublished Draft Version, Publish to Organization, and Discard Draft. Publish to Organization asks: Are you sure you want to publish this job to your organization?

If you are editing the published version and a draft already exists, the banner asks you to resume it. It names the person and the time when mozzo has them, for example: Resume draft from [name] started at [date and time]? Use Draft opens that draft. Discard deletes it.

If you are viewing the published version and a draft exists, the banner says: You are currently viewing the published version. A draft is available. View Draft Version opens the draft.

If you leave a field with changes that have not saved yet, a bar at the bottom of the screen says: You have unsaved changes.

After you publish, Draft in Progress returns to No, and people with view access can open the job. Later edits start a new draft. Viewers keep seeing the last published version until you publish again.

Find a saved job description

My Saved Job Descriptions shows jobs you created. Saved Job Descriptions from My Organization shows jobs created by other people in your organization. Both lists can be searched with Search for a job, and sorted by column.

Editors see Job Title, Date Created, Date Edited, and Draft in Progress. Click the job title to open the preview.

A job that has been archived for Align does not appear in these lists.

Build a light duty job description

Open a regular job description, open Actions, and click Convert to Light Duty. The preview then shows Job Type: Light Duty. Click Customize. The page title is Customize Light Duty Job Description.

The instructions on the page say the light duty job description is tailored for each injured worker based on their specific restrictions. Fill in each section, and update the job description whenever the medical provider adjusts those restrictions. Preview Job, on the left, opens the formatted light duty form.

General Information

Physical Demands

The page says: Determine the physical demands required for this position, including the frequency and, if needed, the description of tasks associated with the corresponding physical demand. It also says: Each line is REQUIRED unless Frequency is N.

Frequency is one letter:

A description can be up to 80 characters. Lifting, Carrying, and Pushing / Pulling also ask for pounds. The demands are Sitting, Standing, Walking, Climbing Ladders/Stairs, Twisting at the waist, Bending / Stooping, Squatting / Kneeling, Crawling, Reaching Out, Working above shoulders, Handling / Grasping, Fine Finger Manipulation, Foot Controls / Driving, Repetitive Motion, Talking / Hearing / Seeing, Vibratory Tasks, Lifting, Carrying, and Pushing / Pulling.

Preview Job shows the light duty form. Download Job, and Download under Actions, save a PDF. Drafts, publishing, and delete work the same way as a regular job description.

View a job description without editing it

A person whose seat can view job descriptions, and cannot open Job Description Builder, uses Job Descriptions in the menu. The page title is Job Descriptions. They see Saved Job Descriptions from My Organization, with Job Title, Date Created, and Date Edited. They do not see Organization Settings, the job-title search, Mass Upload Job Descriptions, My Saved Job Descriptions, or Draft in Progress.

They can open a published job, copy it, download it, and share the link. They do not see Customize, Publish to Organization, Convert to Light Duty, or Delete. They do not see a job that has never been published, and they do not see unpublished edits on top of a published job.
